Agency Shopping Attendant - Raleigh
Classification: Full-time, Non-exempt
Department : Agency Services and Programs
Reports to: Outreach, Evaluations & Programs Manager
Basic Function: The Agency Shopping Attendant is responsible for ensuring that all agency shopping is coordinated so that partner agencies have ample time to utilize the Raleigh Warehouse and so that the delivery program is executed in a customer friendly manner. This position coordinates all requests for shopping appointments and coordinates invoicing so that it is conducted with the highest degree of accuracy and professionalism with customer service always at the highest level possible. The Agency Shopping Attendant completes all invoices (i.e. daily shopping invoices, TEFAP invoices for Durham, Greenville, Raleigh & Wilmington Branches, and delivery program/site invoices). This position schedules agency shopping and maintains the database used for invoicing; is a primary resource for information to and from partner agencies and external inquiries; is also a member of the Agency Services and Programs Team.
Responsibilities:
1. Schedule all shopping appointments for the Raleigh Branch while being consistent with shopping policies including ensuring no additions to the schedule before noon. Responsible for a coordinated shopping schedule which reflects mutually agreed upon time of partner agencies and the Food Bank.
2. Maintain accurate shopping lists of available product and distribute list to appropriate Food Bank personnel daily.
3. Accurately invoice daily shopping invoices (which includes being available and punctual for agency check-out). Invoice TEFAP invoices for Durham, Greenville, Raleigh and Wilmington Branches and submit paperwork and forms to appropriate Food Bank personnel. Invoice delivery program invoices daily. Responsible for the timely preparation and delivery of all invoices
4. Ensure that each invoice has the appropriate signatures and all appropriate invoices are filed timely and accurately each day.
5. Ensure highest degree of customer service is delivered to partner agencies including returning phone calls.
6. When appropriate, ensure that accurate adjustments are made to agency invoices and Navision database.
7. Ensure daily shopping lists are posted on Food Bank website by close of business the day prior to shopping.
8. Communicate with relevant Operations staff on agency product pick-up.
9. Provide backup to the shopping attendant in processing agency orders in the warehouse as needed.
10. Other duties and requested by the Outreach, Evaluations & Programs Manager and Department Leadership.

Qualifications: High school diploma, GED, or equivalent experience required. One to two years as an administrative assistant or equivalent experience is preferred. Candidate must demonstrate proficiency in Microsoft Office Suite. This position requires excellent customer service skills; ability to meet deadlines and demonstrate leadership to complete projects. The candidate must be detail-oriented, and demonstrate ability to perform in a fast-paced work environment. Ability to lift up to 40 pounds is required. Must be able to work with diverse groups of people and be committed to social justice. Bi-lingual skills a plus (i.e. Spanish)

Outreach Coordinator (DURHAM BRANCH)

Basic function: The Outreach Coordinator will work with leaders of partner agencies within the Food Bank of Central & Eastern North Carolina’s service area. These partner agencies represent individuals at or below the federal poverty guideline. The Outreach Coordinator along with the partner agency will facilitate the safety and integrity of local food distribution. In addition, at the request of the partner agencies, they will work to leverage community relationships of the Food Bank and of the agency network to collectively enerate more food, more money and a stronger voice on behalf of poor and underserved people.
The three key outcomes that the Food Bank network seeks to focus on are: improvement in the overall physical well-being and social health of low-wealth communities; the health of disadvantaged children; and creating opportunities for effective grassroots advocacy through the Food Bank’s intranet site and Talking Councils. The Outreach Coordinator ensures compliance with Feeding America and other Food Bank regulatory guidelines. The Outreach Coordinator will also support the implementation and use of technology to enhance departmental objectives.
Responsibilities:
1. Assist, organize and develop community organizations in under-resourced communities; maintain effective lines of communication between partner agencies and the Food Bank and among partner agencies themselves; help link partner agencies with their own local resources both public and private to assist partner agencies in accomplishing their mission.
2. Implement agency recruitment plan by guiding potential partner agencies through the agency application process.
3. Serve as lead coordinator for branch agencies’ participation in The Emergency Food Assistance Program (TEFAP) while communicating with the operations department and manager of the Program.
4. Conduct site visits of partner agencies to ensure safe food storage and handling and ensure the practice of good stewardship of Food Bank product and appropriate record-keeping; maintain updated reports of agency visits; and recommend termination of partner agencies as appropriate.
5. Ensure the provision of technical assistance as needed by partner agencies.
6. Create and support local food distribution systems in assigned areas; work with Food Bank staff to support such systems.
7. Be knowledgeable of the population and needs of assigned service area; coordinate state, regional and local resources as requested and appropriate, and are available to meet those needs as defined in the Food Bank’s mission.
8. Implement departmental work plan.
9. Assist in the development of local/regional Talking Councils. Serve as the primary manager of local Talking Council, including coordinating all meetings.
10. Assist in the production of the bi-monthly partner agency newsletter, Stone Soup. Solicit and submit information for the newsletter from partner agencies, community leaders, and branch staff.
11. Identify the need for and support the implementation of Food Bank programs such as Kids Cafe, BackPack and other future programs. Support existing established programs.
12. Assist in the development and implementation of strategies to expand participation in Child Nutrition Food Programs, such as the Summer Food Service Program, School Breakfast, WIC, Food Assistance, etc. utilizing volunteer resources when possible.
13. Assist the Development Department in fundraising when appropriate.
14. Actively participate in the team process to create a high functioning support system for partner agencies and a high functioning Department.
15. Perform other duties requested as appropriate to the position.
Qualifications: Must be a self-starter who can perform with little supervision. Must have outstanding people skills, excellent oral and written communication skills and a demonstrated knowledge of Microsoft Office. Must be able to work with diverse groups of people and have a commitment to social justice. Excellent driving record as extensive travel throughout the Food Bank’s service area is required. Experience in building work teams, bi-lingual and Bachelors degree preferred.

Driver/Warehouse Assistant

Basic function: The Driver/Warehouse Assistant is the primary driver for all local deliveries and pick ups in the branch’s service area, and additionally will assist the Operations Manager in the warehouse as directed when not performing driving duties.
